• Learning data: Course enrolments, unit progress, quiz results, exams, assignments, grades, certificates, attendance-style activity, and lecturer feedback.
• Content and files: Course materials, past papers, images, documents, assignment uploads, and other files you choose to upload.
• AI interaction data: Tutor prompts, chat messages, generated learning content, feedback ratings, and voice input when you choose to use the microphone.
• Device and usage data: App version, browser or device type, logs, notification tokens, session timing, feature usage, and security events.

3. How We Use Information

• Provide accounts, authentication, institution access, and role-based dashboards.
• Deliver AI tutoring, course management, assessments, grading workflows, and progress tracking.
• Personalise learning recommendations and academic analytics for students, lecturers, administrators, and parents where enabled.
• Send service notifications, support messages, and security alerts.
• Detect abuse, protect the platform, debug errors, and improve reliability.
• Comply with applicable law and institution requirements.

4. Permissions and Device Features

The mobile app may request microphone access for voice tutoring, camera or photo access for selected uploads, and notification permission for learning alerts. EDMAN.ai uses these permissions only when needed for the feature you choose to use.

5. Data Sharing

We do not sell personal data. We share data only as needed to provide the service:

• Your institution: Relevant administrators, lecturers, and authorised staff can access institution learning records.
• Parents or guardians: Where parent features are enabled, linked guardians can view approved student progress information.
• Service providers: Hosting, authentication, storage, AI processing, email, push notification, analytics, and security providers that process data for EDMAN.ai.
• Legal and safety reasons: Where required by law, valid legal process, safety, fraud prevention, or protection of rights.

6. AI Processing

EDMAN.ai sends relevant prompts, course context, uploaded learning content, and conversation history to AI systems so the tutor can respond, generate learning material, and support assessment workflows. AI outputs can be inaccurate and should be reviewed by students, lecturers, or administrators before relying on them for academic or operational decisions.

7. Security

We use access controls, role-based permissions, HTTPS, secure authentication, monitoring, and backup practices to protect personal data. No system is perfectly secure, but we work to limit access to people and providers who need it to operate EDMAN.ai.

8. Retention and Deletion

We keep personal data while your account is active, while your institution uses EDMAN.ai, or while needed for legal, security, backup, audit, and academic record purposes. You can request account and data deletion from the mobile app settings or by visiting our Account and Data Deletion page. We aim to complete verified deletion requests within 30 days unless a longer retention period is required.

9. Your Choices and Rights

Depending on your location and institution rules, you may ask us to:

• Access personal data linked to your account.
• Correct inaccurate account or profile information.
• Delete eligible account and learning data.
• Export learning data where technically available.
• Withdraw optional permissions, such as microphone, camera, photo, or notification access.

10. Cookies and Local Storage

The web app uses cookies and local storage for authentication, role routing, preferences, security, and service operation. You can control browser cookies through your browser settings, but blocking required cookies may stop login or dashboard features from working.

11. Children and Students

EDMAN.ai is designed for education. Where a user is under the age required for independent consent in their country, the user should use EDMAN.ai only with permission from a parent, guardian, school, or institution. Institutions are responsible for obtaining required consents for their learners.

12. International Processing

EDMAN.ai and its providers may process data in countries other than the one where you live. Where required, we use appropriate safeguards for cross-border processing.
